By Shumin Chen and Frans Wijma

Simplified Technical English (STE) is an international standard (ASD-STE100) that helps to make technical documentation easy to understand. Simplified Technical English standardises vocabulary, grammar and style, while letting users control their specific terminology. Although Simplified Technical English originates from the aerospace and defence industries, it can easily be customised and applied to any other industry.

Shufra, a full-service technical documentation provider, can help you implement the ASD-STE100 Simplified Technical English standard in such a way that it optimally supports the introduction of Lean Six Sigma ideas, concepts and processes to your documentation lifecycle.

Simplified Technical English and Six Sigma
Below, we will outline the basic synergy between Six Sigma and Simplified Technical English.

An important Six Sigma method is known as DMAIC:
•	Define the project goals.
•	Measure key aspects of the current process and collect relevant data.
•	Analyze the data to identify root defects.
•	Improve or optimize the current process based on the data collected.
•	Control the new process to ensure that any deviations from target are corrected before they result in defects.

In the domain of Simplified Technical English in relation to content creation and content management (authoring, editing, change management, version management), the basic parallel is:
•	Define the writing rules
•	Mine legacy data
•	Analyze the data to identify the common violations
•	Improve the documentation by applying the relevant rules
•	Check the documentation to ensure correct and consistent use of the rules, thus reducing the number of violations and improving output quality

Simplified Technical English provides the baseline set of writing rules that can be used as objective parameters to measure content quality. Shufra can extract relevant error information from your legacy publications, helping to identify the main problem areas. We then train your staff in effectively applying the rules that remedy these problems. Finally, we help you to implement Simplified Technical English checker software to monitor and control the content creation and output. The exact implementation will be based on your existing or planned documentation process and entails many variables.

A bottomline impact

Simplified Technical English involves all aspects of the documentation lifecycle. It looks to make significant improvements in your content creation and content management workflow. Typically, text written in Simplified Technical English will show a 20 to 30% reduction in text volume without any information loss and at least a 60% increase in readability and user-friendliness. As the text volume is reduced by at least 20% and the remaining text becomes more repetitive, the use of Simplified Technical English typically results in 30 to 40% less translation cost.

After all, the best product is only as good as its documentation and technical data allow the customer to make optimum use of it without stretching the budget too far.

Does conflicting and out-dated information frustrate you? Do your users find it difficult to find the pertinent information to operate efficiently and on-time? What can you do to provide, manage and supply information to support your role in your company’s operations and your users? Your operation must develop a vision for better provision, management, availability, usability and intelligence of information.

Information fidelity, integration and distribution act as the keystones for best practise information management within your organisation. These aspects have been shown to drive significant cost-savings to your company’s bottom line. Why then are so many industry players letting these benefits pass them by? What is missing?

Captain Michael Bryan will discuss these issues and bring into sharp focus the real issues that have made information management and information usability, from an end user’s perspective, the bane of airline operators for decades. He will provide us with significant and compelling examples that not only empower you to show but convince your management of the windows of opportunities that they have missed and could potentially miss – to outdo and outlast stiff competition within the industry.

With over 35 years aviation experience, Captain Michael Bryan has been involved with information standards development and EFB programs for two decades. Captain Bryan is a past Chair of the ATA/AIA FOWG (Digital Data) committee and has been cited by Boeing and Aerospatiale for his contributions towards just this effort and its future potential. In addition to these endeavours, Michael’s Master’s Thesis also relates to the subject of information management; why it is an imperative for airlines and why it is for most, that this issue has not only missed the flight, it has missed the point with almost every airline on the planet!

Please contact us for more information or to register.

Simplified Technical English (a.k.a. Simplified English, ASD-STE100 or STE) is a specification developed for language use in aircraft and defense documentation, but increasingly also used in other industries and for various document types. The aim of Simplified English is to make text easier to understand, more consistent and less ambiguous. The use of Simplified English typically helps to reduce the amount of text and the time-to-market while saving cost at the same time.

The team at Shufra has 10 years of experience in implementing Simplified English with around 60 customers worldwide, including Boeing, Rolls-Royce, EADS and BAE Systems. Shufra normally offers Simplified Technical English training on site with the customer, as part of an STE implementation, including dictionary building and licenses for the Boeing Simplified English Checker. However, for those who are not yet ready for an implementation, and for companies that only have one person in charge of documentation, the cost of an on-site dedicated training can be an issue.

We therefore offer seats at a number of joint training classes in the US, UK and elsewhere. All classes will have a minimum of 5 and a maximum of 10 participants. The first class is scheduled to take place in Phoenix, AZ on September 8 and 9, the second in London, UK on September 15 and 16. Given a sufficient demand, we will offer more classes in more locations, including Dubai and Tokyo. The cost per attendee is USD 1,800 / EUR 1,300. If you register and make payment before July 31, we offer a 10% early-bird discount.

Trainees will receive a copy of the ASD-STE100 specification. A certificate will be issued upon successful completion.

Please contact Shufra at info@shufra.com.sg for more information (including a training outline) or to register. For more information about Shufra, please visit www.shufra.com.sg.

Shufra normally offers Simplified Technical English training on site with the customer, as part of an STE implementation, including dictionary building and licenses for the Boeing Simplified English Checker.

For those who are not yet ready for an implementation, and for companies that only have one person in charge of documentation, the cost of an on-site dedicated training can be an issue.

We therefore plan to offer one or more joint training classes, based on demand, in a public location. The number and location of training classes will be adapted to demand. A class will have a minimum of 5 and a maximum of 10 participants.

For now, we are planning to have one two-day class in Phoenix, AZ and another two-day class in London, UK. Both these classes will take place in September, provided that a sufficient number of people register before 31 July. The cost per attendee will be USD 1,800 / EUR 1,300. Given a sufficient demand, we will offer more classes in more locations.

Trainees will receive a copy of the ASD-STE100 specification. A certificate will be issued upon successful completion.

Shufra establishes further strategic partnerships in order to provide its customers with unmatched practical and efficient state-of-the-art solutions for technical documentation and training.

Says Ms. Shumin Chen, business development manager at Shufra: “Our customers are looking for turn-key solutions that create and manage data in a vendor-independent way. At Shufra, we support the use of global standards in order to safeguard the flexible and efficient usage of all data created.”

XML is a standard that allows for a universal and non-proprietary way of creating, storing, editing, managing and publishing data. Shufra partners with market leaders and innovative companies, integrating their products into solutions that satisfy all of its customers’ needs now and in the future.

Shufra offers XMetaL by JustSystems to allow for the easy creation and management of content. The partnership with xEdge provides a flexible viewing solution that allows companies to show and publish their data in an intuitive browser environment. Ms. Julia Yeong, owner at xEdge Consultancy welcomes the collaboration with Shufra and explains: “We are a young and dynamic software company based in Singapore. We believe that the synergy between Shufra and xEdge Consultancy will allow us to rapidly expand our presence in the field of technical documentation management.”

To further optimise documentation management, there are a number of value-added options available. Shufra’s partnership with Corena provides for a comprehensive yet flexible data management solution centred around a common-source database (CSDB), based on the S1000D standard that is compulsory for most aerospace and defence projects, and can easily be adapted to all industries.

The S1000D specification recommends the use of ASD-STE100 (Simplified Technical English) for English technical language narration, as this not only provides an improved opportunity for clarity but also yields the benefits of easier and cheaper translation. To date, Shufra is the only company that offers full support for STE as part of its range of XML-based solutions. Shufra offers the Boeing Simplified English Checker, the most established and accurate authoring tool, available for commercial use since the year 2000.

Says Dr. Frans Wijma, managing director of Shufra: “We are proud to announce that Shufra, in close co-operation with its partners, can offer a unique and very comprehensive package, focused around the use of XML and a common-source database. Combined with our training, consultancy and system integration services, this package is unique in its domain and will greatly benefit its users.”

For more information, please contact Shufra at info@shufra.com.sg or visit our website www.shufra.com.sg.

Dr. Frans Wijma, managing director of Shufra (www.shufra.com.sg) announced today a partnership with acrolinx GmbH from Germany. As part of the agreement, Shufra now offers its customers worldwide acrolinx™ IQ Suite, a powerful linguistic quality assurance application that helps companies to implement corporate style guides and their specific writing rules. The software can check for correct spelling, grammar, style and terminology, thus improving readability, translatability and overall consistency.

IQ stands for Information Quality. Key benefits of Information Quality are:

Optimum leverage of translation memory software (TM)
